Working with Workflows

Order Status Growth Plan Required

Workflows allow you to organize your statuses into logical steps and control who is allowed to set each of the status in the workflow. This is useful if your shop sells products that go through different processes before they are shipped and if you have team members that are responsible for only a few steps in the process.



Notes:


  • Each Status can only belong to one Workflow.
  • When an order is set to a Status that belongs to a workflow, only the Statuses in that workflow will be visible when updating the status. (unless you are an admin user)
  • The order of the steps in the workflow takes precedence over the Display Order set in the status settings.

Searching Workflows

Use the "Search Workflows" field at the top of the page to locate a specific workflow in the list.


The Search will look for matching text in the workflow's name field.

Creating a new Workflow

Steps
  • Open Workflows page
  • Press New Workflow
  • Enter name of workflow into the name field
  • Select the color
  • Press Save


The color of the workflow is displayed in the order list so you can identify which workflow the order is currently a part of.


Managing Workflow steps

Note: Statuses can only belong to a single workflow.

Add Steps to a Workflow

Steps
  • Open Workflows page
  • Press ...
  • Press Manage Steps
  • Press Add Statuses to select from the list of available statuses
  • Arrange the steps by dragging and dropping so that they are in the order you would like.
  • Press Save

Delete Steps from a Workflow

Steps
  • Open Workflows page
  • Press ...
  • Press Manage Steps
  • Press ...
  • Select Remove
  • Press Yes in the confirmation dialog
  • Press Save


Add users to a Step

You can limit the statuses that can be set by each of your users by assigning approved users to each step. By default all steps can be set by all users.

Steps
  • Press ...
  • Select Users
  • Select users OR select All users option at the top of the page
  • Press Save

Edit a Workflow

Steps
  • Press ...
  • Press Edit
  • Enter new name
  • Select a new color
  • Press Save

Delete a Workflow

Steps
  • Press ...
  • Press Delete
  • Press Yes in the confirmation dialog
